Build a travel list, not just a team roster
Count players, coaches, support staff and any accompanying guests who will actually board. Identify pickup points and the time the team needs to arrive for preparation. This helps distinguish the travel requirement from the event’s wider attendance.
Describe the equipment load
List bags, sticks, pads and other bulky equipment. For several days away, include personal luggage as well. Ask the team to confirm storage for the proposed vehicle; passenger capacity alone does not establish an equipment allowance.
Plan for the tournament’s moving parts
Share every known venue and scheduled game. Flag fixtures that depend on results and discuss how changes will be communicated. Review the return plan, proposed vehicle and any effect of itinerary changes with Maestro before confirming travel.
Build the route around warmup and game time
Use the required arrival time at the rink, field or tournament venue as the planning anchor. Include coaches and support staff, not just the roster. Hockey bags, sticks, uniforms and other equipment need to be described separately from passenger numbers. For tournaments, provide the full schedule and any hotel transfers.
Built around your journey.
Include athletes, coaches, equipment quantities and arrival time for warmups. Confirm luggage and gear capacity before selecting the vehicle, especially for multi-day tournaments.
