Transportation planning for Ottawa conferences

Coordinate Ottawa conference transportation with hotel departure waves, venue loading instructions and a practical attendee communication plan.

Connect hotels to the programme

Group hotel pickups by session start times and expected passenger numbers. Identify whether the event needs one arrival movement, a repeating shuttle or several scheduled transfers.

Coordinate access with venues

Ask venue staff to confirm the loading location, vehicle access and any restrictions. Do not treat an available curb or transit stop as permission to load a private charter.

Give delegates usable instructions

Provide a short pickup description and clear departure times. Assign an event coordinator who can communicate changes without sending conflicting messages to drivers and attendees.

Keep arrival and departure plans separate

The opening session can concentrate arrivals into a short window, while the end of the conference may spread departures across hotels and airports. Prepare a separate movement list for each period. Identify the event staff member who can direct attendees at the loading point and communicate any programme changes to the transportation contact.

Put the plan into practice

Provide hotel addresses, venue access instructions and session start times. Flag peak arrival periods and confirm the loading areas with your event and venue teams.

Before you send your inquiry

Review the itinerary with the people responsible for the places you are visiting. Loading access, the final headcount and return times help the team prepare a useful quote. Once arrangements are confirmed, share the same version of the plan with everyone travelling.
