How to rent a charter bus in Ottawa

A practical guide to renting a charter bus in Ottawa: prepare your itinerary, choose a vehicle and review the details before confirming.

Start with the itinerary

Write down each pickup, destination and return time. Include time at the destination, not just the hours spent travelling. One person should hold the complete itinerary so that all participants receive the same instructions.

Describe the people and equipment

Count passengers and accompanying staff. Identify luggage, sports equipment and boarding assistance needs. Seating capacity alone does not tell you whether a vehicle suits the trip; ask the team to confirm the complete arrangement.

Review before confirming

A request is not a reservation. Review the proposed vehicle, schedule, inclusions, payment arrangements and cancellation terms with the team before confirming. Keep the booking contact available on the travel day.

Compare complete proposals

Give each transportation provider the same itinerary when requesting quotes. Check the travel dates, passenger count, vehicle category, included movements and any waiting time. If one proposal leaves out the return journey or an extra pickup, the totals will not describe the same service. Resolve those differences before choosing an arrangement.

Put the plan into practice

Share the complete route, overnight stops and return schedule. For travel in Ontario, Quebec or across the border, ask the team to confirm route requirements. Ask the team to confirm driving arrangements, luggage space and the vehicle best suited to the distance.

Before you send your inquiry

Review the itinerary with the people responsible for the places you are visiting. Loading access, the final headcount and return times help the team prepare a useful quote. Once arrangements are confirmed, share the same version of the plan with everyone travelling.
