Organizing school group transportation

Prepare a school group bus request with student and adult counts, destination entry times, supervision contacts and the required return deadline.

Prepare the school’s requirements

Share the number of students and chaperones, the school’s transportation requirements and any boarding assistance needs. Ask the team to confirm the proposed vehicle and arrangements.

Coordinate the destination

Confirm the destination’s group entry time, loading area and pickup procedure. Keep the return deadline visible so that the day’s activities fit the planned transportation.

Keep a clear contact chain

Identify the responsible teacher and an alternate contact. Communicate itinerary changes through the organizer and verify the final schedule before departure.

Leave time for the group to move

The time a bus reaches a museum is different from the time students are ready to enter. Allow for headcounts, unloading, washroom breaks and the walk to the entrance. Work backwards from the school’s required return time when planning the last activity. Share the school’s supervision and transportation requirements before confirming the vehicle.

Put the plan into practice

Provide student and chaperone counts, school loading instructions and return deadlines. Ask about the assigned vehicle and share the school’s transportation requirements.

Before you send your inquiry

Review the itinerary with the people responsible for the places you are visiting. Loading access, the final headcount and return times help the team prepare a useful quote. Once arrangements are confirmed, share the same version of the plan with everyone travelling.
